What’s the Big Idea?

Think of a clipboard like a magical tray. You can:

  • COPY = Take a photo of something and put it on your tray (the original stays!)
  • CUT = Pick something up and put it on your tray (it moves away!)
  • PASTE = Place whatever is on your tray somewhere new

How It Works in Real Life 🍪

Imagine you have 3 cookies on a plate:

PASTE Put copy down Now 4! Still there
CUT 1 cookie Pick it up Now 3 The real cookie

The Keyboard Shortcuts ⌨️

These work everywhere (Excel, Word, even your phone!):

COPY  = Ctrl + C  (Think: C = Copy!)
CUT   = Ctrl + X  (Think: X = Scissors!)
PASTE = Ctrl + V  (Think: V is next to C & X)

  1. Click a cell with data (like “Apple”)
  2. Press Ctrl + C (you see a dancing dotted border!)
  3. Click where you want it
  4. Press Ctrl + V (boom! It appears!)

Normal paste copies EVERYTHING: the text, colors, formulas, borders…

But what if you ONLY want the text? Or ONLY the color?

Paste Special = Choosing What to Paste!

It’s like ordering pizza. Instead of “the whole pizza,” you say:

  • “Just give me the cheese!”
  • “Just give me the toppings!”

How to Open Paste Special

Ctrl + Alt + V
   OR
Right-click → Paste Special

The Most Useful Options

Option What It Does Example
Values Just the text/numbers (no formulas!) Copy “=5+5” → Paste as “10”
Formats Just the colors & borders Make cells look the same
Formulas Just the formula Copy math, not the answer
Column Widths Just the size Make columns match
Transpose Flip rows ↔ columns Vertical → Horizontal!

Real Example: Values Only

Imagine cell A1 has: =10+20 (shows 30)

  • Normal Paste: Copies the formula (=10+20)
  • Paste Values: Copies just “30” (the answer!)

UNDO = Ctrl + Z  (Go back in time!)
REDO = Ctrl + Y  (Go forward again!)

The Problem

You have 1,000 rows of data. You need to find “John Smith.”

Are you going to look at each row? NO WAY!

Find = Search Instantly!

Ctrl + F = Find

A little box pops up. Type what you’re looking for. Press Enter. BOOM! Excel jumps right to it!

Replace = Find AND Change!

Ctrl + H = Find & Replace

This is even more powerful! You can:

  1. Find “cat”
  2. Replace with “dog”
  3. Click “Replace All”
  4. Every “cat” becomes “dog” in ONE second!

Step-by-Step Example

Problem: You typed “Jhon” instead of “John” 50 times. Oops!

  1. Press Ctrl + H
  2. Find what: Jhon
  3. Replace with: John
  4. Click Replace All
  5. Message: “50 replacements made!” ✅
